This Privacy Policy describes how Watchman Counseling ("we," "us," "our") collects, uses, and protects information when you visit watchmancounseling.com (the "Site"). This policy covers website information only. Protected Health Information (PHI) created during your therapy with Hector L. Figueroa, LMSW is governed by the separate Notice of Privacy Practices required by HIPAA.
1. Information we collect
Information you provide
- Booking information — when you book a free consultation through Cal.com, you provide your name, email, phone number, time-zone, and answers to intake questions.
- Email or phone messages — content of any message you send to hello@watchmancounseling.com or call to (914) 712-8283.
- Chat conversations — if you use the on-site chatbot, your messages are processed by our chatbot provider to answer your questions and route booking requests.
Information collected automatically
- Standard server logs — IP address, browser type, pages visited, referring URL, and timestamps. Hostinger, our hosting provider, retains these logs.
- Cookies — essential cookies that keep the site working. We do not use third-party advertising or behavioral-tracking cookies.
2. How we use information
- To respond to your inquiries and schedule your consultation.
- To deliver therapy services if you become a client (governed by the Notice of Privacy Practices).
- To improve site functionality and security.
- To comply with legal and professional obligations.
3. Who we share information with
We do not sell your information. We share it only with the service providers below, each bound by their own privacy and security obligations:
- Cal.com — appointment scheduling.
- Google Workspace / Calendar — calendar and email infrastructure.
- Hostinger — website hosting.
- Voiceflow / HighLevel — chatbot and voice agent (when implemented).
- Law enforcement or regulators — only when legally required (e.g., subpoena, court order, mandated reporting).
4. Data retention
Booking and contact information is retained for as long as needed to fulfill the inquiry and meet legal recordkeeping requirements. Therapy records are retained per New York State Education Law and clinical-records regulations (typically a minimum of six years for adults; longer for minors).
5. Your rights
- Request a copy of the personal information we hold about you.
- Ask us to correct inaccurate information.
- Request deletion of website inquiry data (clinical records have separate retention rules — see the Notice of Privacy Practices).
- Opt out of any non-clinical communications.

6. Children
This Site is not intended for children under 13. We do not knowingly collect information from children under 13. Therapy services for minors require a parent or legal guardian's consent and an in-person or telehealth intake.
7. Security
Watchman Counseling uses reasonable administrative, technical, and physical safeguards to protect information. No system is perfectly secure; clients should not transmit sensitive information through unencrypted email.
8. Changes to this policy
We may update this Privacy Policy from time to time. The "Effective" date at the top reflects the most recent revision.
